Event Details:

Departure: From Virtuos office, Gurgaon, 17th January 2025 (Breakfast at the onward journey included)

Return: 18th January 2025 (Full meals and cocktails covered by the Company)

General Guidelines

Travel Timelines:

  • All employees must strictly adhere to the schedules provided for departure, welcome reception, conference sessions, and return.
  • Missing any scheduled event or delay in joining the group will not be tolerated.

Dress Code:

  • Due to substantially lower temperatures at Jim Corbett compared to Gurgaon, employees are advised to wear warm clothing such as woollen overcoats or hoodies.
  • Ensure comfort and appropriateness for both formal conference sessions and casual party events.

Shared Accommodation:

  • Hotel rooms will be shared with fellow employees. No requests for changes in room assignments will be entertained.
  • Respect your roommate's privacy and ensure mutual cooperation.

Participation in Events:

  • Attendance is mandatory for all scheduled sessions, including the welcome reception, conference meetings, and award ceremony.
  • Employees must not schedule any client meetings or other commitments during the event.

Party Etiquette:

  • During the welcome reception and party, employees are encouraged to participate with enthusiasm. Dance and singing competitions may be organized to boost team spirit.
  • Maintain decorum and avoid any behaviour that could disrupt the event.

Code of Conduct

Respect and Inclusion:

  • Bullying, personal attacks, or any form of harassment are strictly prohibited.
  • Be courteous and professional in all interactions.

Protection of Female Employees:

  • Virtuos maintains a zero-tolerance policy for any actions that compromise the safety and dignity of female employees.
  • Employees are encouraged to report any concerns immediately to their supervisor or designated care-taker.

Mobile Phone Usage:

  • During conference meetings, all mobile phones must be switched off to avoid disruptions.
  • Personal calls and messages should be limited to breaks.

Medical and Safety Guidelines

Health and Medical Needs:

  • Carry any prescribed medications and basic first-aid supplies.
  • Inform your supervisor in advance about any medical conditions that might require attention.

Travel Risks:

  • Road travel involves inherent risks. Employees are required to acknowledge and accept these risks during registration.
  • Virtuos is not responsible for unforeseen incidents during travel but will provide reasonable assistance if required.

Emergency Contact:

  • In exceptional cases, employees may nominate a care-taker or supervisor to liaise with their parents or family during the trip.

Award Ceremony

Recognition:

  • Awards will be given only to a select group of high-achieving employees based on stringent performance criteria.
  • This exclusivity underscores the exceptional contributions of the awardees and sets a benchmark for others.
  • Employees are encouraged to aspire for these coveted awards in future events.

Additional Responsibilities

Punctuality:

  • Be on time for all events, including departures, meals, and conference sessions.

Behaviour:

  • Maintain professionalism and uphold Virtuos' values throughout the trip.
  • Refrain from excessive alcohol consumption or any behaviour that could harm the company's reputation.

Property Care:

  • Handle all hotel and travel arrangements with care. Damages caused by negligence will be the responsibility of the employee.
